Life stories and sensitive information

Life stories are personal by nature and may include information about health, beliefs, family relationships or other sensitive matters, as well as details about other people. We only use this content to produce the finished story for your family. It is never published, shared publicly or used for marketing without explicit written permission. By providing recordings or written memories, you confirm that the storyteller is happy for us to use them for this purpose. Either of you can ask us to delete them at any time.

How we use your information

  • To provide the services you have ordered, including editing, production, narration, printing and delivery (contract).
  • To reply to enquiries and arrange calls (legitimate interests, or steps before entering a contract).
  • To take payments and keep business and tax records (contract and legal obligation).
  • To understand how our website is used so we can improve it (legitimate interests).
  • To process sensitive information contained in life stories (explicit consent).

We do not sell your personal information, and we only send marketing emails if you have asked to receive them. You can unsubscribe at any time.

Who we share it with

We use trusted service providers who process information on our behalf, only as needed to deliver our services:

  • Stripe, and payment options offered through it such as Klarna, to take payments.
  • Calendly, to book calls.
  • Printing, fulfilment and automation providers, such as Printful, Cloudinary and Make, to create and post gift certificates and books to the address you provide.
  • Production tools, including transcription and AI voice services used to create transcripts and narrated stories.
  • Private podcast hosting and file delivery services, so your family can listen to and download the finished story.
  • Website, email and chat providers, including our web host, WordPress and Jetpack, our email provider and the Voiceflow chat assistant on this site.
  • Professional advisers and authorities, such as our accountants, or where the law requires it.

Some of these providers are based outside the UK, including in the USA and the EU. Where this happens, we rely on appropriate safeguards such as UK adequacy regulations, the UK International Data Transfer Addendum or equivalent contractual protections.

Cookies

This website uses only essential cookies required for it to function securely, and privacy-friendly analytics that do not use cookies. We do not use advertising or tracking cookies. Embedded YouTube videos load in YouTube’s privacy-enhanced mode and do not set cookies unless you choose to play them. If this changes, we will update this policy and ask for your consent where required.

How long we keep it

We keep project recordings, written memories and working files for up to 12 months after delivery, so we can help if you need a change or a replacement file, and then delete them unless you ask us to keep them longer. You can ask us to delete them sooner. We keep order and financial records for six years, as required by UK tax law. Enquiries that do not lead to an order are deleted within two years.

Keeping it secure

We use secure, access-controlled storage and reputable providers, and project files are handled personally by our founder with complete discretion.

Your rights

Under UK data protection law you have the right to access, correct or delete your personal information, to restrict or object to how we use it, to ask for a copy in a portable format, and to withdraw consent at any time. To make a request, email info@podcasteditingservices.com. We will respond within one month.

If you are unhappy with how we have handled your information, please contact us first. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
